Buyer Closing Process Guide

Receipt of Executed Contract

Once our office receives the executed contract for your new home, we will send you—and your agent, if applicable—a welcome email. This email includes important details about your closing date, time, and location, along with a link to complete your Buyer Information Sheet.

Completion of the Buyer Information Sheet

Please complete this as soon as possible. Delays in submitting this form will delay your closing.

Payment of Earnest Money Deposit

If our office is holding the earnest money deposit for your purchase, payment is due to our firm by the date specified in your contract.

  • Deposits over $5,000.00 must be submitted via wire transfer.

  • Deposits up to $5,000.00 may be paid by personal check, cashier's check, official check, or money order (earnest money deposits only).

  • Please contact our office for CertifID wiring instructions.

Receipt of Buyer Information Sheet / Title Order

Once we receive your completed Buyer Information Sheet, we will order the title search report. This process typically takes 10–15 business days or longer, which is why prompt completion of the Buyer Information Sheet is essential.

Title Search Completed

Once the title order is complete, our title department will review it and forward any necessary documents to your lender, if applicable. You will receive a "Commitment" email with the title commitment attached for your review. This is for informational purposes only—no action is required.

Closings with a Lender

If you are financing your purchase, your lender will review all title documents and notify us of any required changes. The lender will then move your file through underwriting to reach clear-to-close status.

Balancing the Closing Disclosure (CD) with Your Lender

Once the lender issues clear-to-close, we begin balancing the Closing Disclosure—reconciling fees such as attorney fees, invoices, title insurance, and lender fees (origination, appraisal, credit report, etc.). If you are using a lender for your purchase, please note that your final number will ultimately come directly from your lender.

Settlement Statement Review

After balancing is complete with the lender, we will send the final Settlement Statement to your agent, if applicable, for review with you prior to closing. This statement details your debits, credits, and closing costs. Please contact our office for CertifID wiring instructions prior to closing. It is best practice for our office to be in receipt of your closing funds the day before your scheduled closing to ensure that funds are available the day of closing.

Closing Day

Our attorney will review all documents with you and answer any questions regarding the property. Please bring a valid photo I.D. and any original documents required for closing.

Funding Authorization, Recordation, and Disbursement

Some lenders require funding authorization. If so, we will send all executed loan documents back to the lender for final review and any requested changes. Once funding authorization is received, we will submit the deed and mortgage for recording. For North Carolina closings, recording must be complete prior to disbursement. Your agent, if applicable, will be notified once recording is confirmed with the Register of Deeds.
